Job Description: Admin Assistant
To provide comprehensive administrative support to ensure the efficient operation of the
company. The Admin Assistant will support managers and employees through a variety of tasks
related to organization and communication.
Essential Duties: The Admin Assistant is not, however, limited to these tasks.
¡Ü Process and update documents for EIDIM Corporation
¡Ü Process permits, business licenses, certifications, car registrations, and insurance.
¡Ü Send Insurance and Bid Bond requests.
¡Ü Work on Bonding – once notice of award / intent to award is given coordinate as soon as
possible to the Admin Lead.
¡Ü Process Fedex label.
¡Ü Updated Permit, License, and Insurance Log.
¡Ü Update and check backlog every day.
¡Ü Process scheduling appointments and travel.
¡Ü Process phone plan, internet, and electricity
¡Ü Coordinating with Admin personnel regarding weekly meetings, and Zoom meetings
¡Ü Ensuring completion of assigned projects under deadlines.
¡Ü Perform other duties as assigned.
¡Ü Collaborate effectively with team members to ensure a smooth workflow.
¡Ü Coordinate travel arrangements and process expense reports.
¡Ü Conduct research and compile data as required.
Responsibilities:
¡Ü Communication: Act as the initial point of contact, handle phone and email
communications, and manage the company’s general correspondence.
¡Ü Documentation: Prepare, manage, and file documents such as licenses, bonds and
insurance.
¡Ü Scheduling: Assist in scheduling meetings, appointments, and travel arrangements for
managers and employees.
¡Ü Data Entry: Accurately input and maintain data in various systems and databases.
¡Ü Support to Management: Provide administrative support to senior management,
including making travel arrangements and preparing expense reports.
¡Ü Event Coordination: Assist in planning and coordinating company events, meetings, and
conferences.
¡Ü Policy Compliance: Ensure compliance with company policies and procedures, and assist
in developing and implementing administrative policies.
¡Ü Office Management: Maintain office supplies inventory, handle mail and courier services,
and ensure the office environment is tidy and well-organized.

Minimum Qualifications:

¡Ü Experience in handling documentation such as permits, business licenses, certifications,
and insurance.
